VOXITI · PRACTICAL GUIDE

Prepare your business phone system

Define your welcome, queues, extensions and acceptance scenarios.

Start with the caller journey

Describe what should happen when a customer calls. A short flow from the dialled number to the person answering is enough to start.

  • Which number reaches each team?
  • Do you need a voice menu and which choices?
  • What should callers hear outside opening hours or without an answer?

Define who answers

List extensions and teams, then configure the groups that receive calls. ACD distributes calls according to configured rules. Define what happens when all agents are busy.

  • Extensions, sites and remote colleagues.
  • Typical and peak simultaneous call volumes.
  • Maximum wait, overflow destinations and welcome messages.
  • Extension voicemail and email recipients.

Prepare equipment and acceptance

List SIP phones, headsets and browsers. Browser calling needs microphone access and a suitable network. Have a team member run the scenarios: an installer-only check may miss unclear voice instructions.

  • Call each number and menu choice.
  • Blind and attended transfers, and hold.
  • Unanswered calls, busy groups and call history.
  • Access links for each user role.
